Refund Policy

We strive to provide high-quality IT managed and unmanaged services. Since we deal with digital services, software development, and consultancy, our refund policy is designed to be fair to both our clients and our creative team. We are dedicated to fostering business development and providing a “one-stop” solution for all IT concerns. Because our journey (since September 11, 2020) is built on trust and professional support, we have established this detailed Refund Policy to ensure transparency and clarity for our clients regarding all managed and unmanaged IT services.

⇒ GENERAL PRINCIPLES
As a provider of digital intellectual property and professional services, Ayxqo operates primarily on a "service-for-fee" basis. By engaging with our services—including but not limited to Digital Marketing, Web Development, and IT Consultancy—you acknowledge that you have read and agreed to these terms.

SERVICE-SPECIFIC REFUND TERMS
A. Web Design & Software Development
  • Milestone-Based Refunds: If the project is divided into milestones, refunds are only available for milestones that have not yet commenced. Once a milestone is approved and development begins, that portion of the payment is non-refundable.
  • Post-Delivery: After the final website or software is delivered and the "Go-Live" phase is completed, no refunds will be issued.
B. Digital Marketing & Meta Advertising
  • Service Fees: Fees paid to Ayxqo for strategy, setup, and management are non-refundable once the campaign has been initiated.
  • Ad Spend: Meta Business and other advertisement platform costs are paid directly to the platform. Ayxqo has no control over these funds and cannot refund any amount spent on live ads.
C. Domain, Hosting & Third-Party Licenses
  • Instant Non-Refundability: Domain names and Hosting services are purchased from third-party registrars. Once registered, these are technically non-refundable under industry standards.
  • Software Licenses: Any specialized software or API keys purchased specifically for your project are non-refundable.
D. SEO & IT Consultancy
  • Search Engine Optimization (SEO) is a long-term process with no "guaranteed" instant ranking. As such, fees for SEO work and professional consultancy hours are billed for time and expertise and are non-refundable.

Scope of Refund
Refunds are generally considered under the following circumstances:

  • Non-Delivery: If we fail to start your project or deliver the service within the agreed-upon timeframe due to internal issues.
  • Service Not as Described: If the final delivery differs significantly from the scope of work defined in the initial agreement.
  • Duplicate Payment: In case of an accidental double-charge or overpayment.
ELIGIBILITY FOR A REFUND
A client may be eligible for a partial or full refund only if:
  1. Project Abandonment: Ayxqo stops work on a project for reasons other than client-related delays or non-payment.
  2. Major Technical Failure: The delivered product fails to meet the core functional requirements explicitly listed in the Service Level Agreement (SLA).
  3. Cancellation before Start: A request is made within 24 hours of payment AND before any work (including research or onboarding) has started.
Customized Support
For our Customizable Support Services, specific refund terms may be outlined in the individual Service Level Agreement (SLA) signed at the start of the project. Those terms will override this general policy.
 
THE "NO-REFUND" CONDITIONS
Refunds will not be provided if:
  • The client changes their mind after the project has started.
  • The client fails to provide necessary materials (logos, text, login access) to complete the project.
  • The project is delayed due to slow communication or lack of feedback from the client.
  • The client's business closes or the project is no longer needed by the client.
  • Third-party platform updates (e.g., a Meta algorithm change or Google update) affect campaign performance.
Non-Refundable Services
To maintain our operational costs and third-party commitments, the following are non-refundable:
  • Domain & Hosting: Once a domain name is registered or hosting space is allocated, these costs cannot be recovered.
  • Advertising Spend: Budget allocated for Meta Ads, Google Ads, or any digital marketing platform is paid directly to those platforms and is non-refundable.
  • Completed Work: Fees for services already rendered, such as SEO audits, consultations, or completed design milestones, are not eligible for a refund.
  • Third-Party Software: Any licensed software or API subscriptions purchased for your project.
Cancellation Policy
  • Project Cancellation: If you wish to cancel a project after work has begun, Ayxqo reserves the right to retain a percentage of the initial deposit to cover the hours already invested by our team.
  • Subscription Services: For managed support or monthly retainers, you may cancel at any time, but the current month's fee remains non-refundable.
Refund Process
To request a refund, please follow these steps:

  2. Our team will review the request and respond within 5-7 business days.
  3. If approved, the refund will be processed back to the original payment method within 10-14 business days.
REFUND REQUEST & DISPUTE RESOLUTION
To ensure fairness, we follow a strict protocol:
  • Submission: Formal requests must be sent to [[email protected]] with the subject line "Refund Request – [Invoice Number]".
  • Review Period: Our management team will review all logs, communication, and work completed. This process takes 10 business days.
  • Negotiation: Before a refund is issued, Ayxqo will offer to rectify the issue or provide alternative credits for future services.
  • Deductions: Any refund issued will be subject to a 15% administrative fee plus any bank/transaction processing fees.
